Quick-Start Guide

Set up your first clinic, add a controlled-substance vial, and record your first event in under 5 minutes.

Before you begin

VetRx Ledger works entirely in your browser — no installation, no EMR integration, and no internet connection required after the initial page load (offline-first PWA). You will need:

  • A modern browser (Chrome 90+, Safari 15+, Firefox 100+, or Edge 90+)
  • Your DEA registration number for the clinic location
  • At least one controlled-substance vial on hand to test with

Step 1 — Create your organisation & clinic

Navigate to /onboarding and complete the Org step (DEA registrant name, registration number, address). Then add your first Clinic (site name, DEA sub-registration if applicable). Each clinic maintains its own isolated ledger and vial inventory.

Multi-location groups: Create one Organisation and add multiple Clinics under it. Corporate compliance officers can view aggregate data across all sites from the dashboard.

Step 2 — Add a controlled-substance vial

Navigate to Vials (top navigation) and click Add Vial. You have two capture methods:

  • GS1 Barcode / NDC Scan — point the camera at the 2D barcode or NDC label on the vial. VetRx Ledger extracts drug name, lot number, expiry date, and NDC automatically with a confidence score.
  • Manual Entry — type drug name, lot number, expiry date, and initial quantity. All fields accept free-text; no catalogue lookup is required.

Set the Initial Quantity to match the vial label (e.g., 10 mL for a 10 mL vial of ketamine 500 mg/10 mL). VetRx Ledger tracks running balances from this starting point.

Step 3 — Record your first draw

  1. Navigate to Ledger from the top navigation.
  2. Select event type DRAW from the event-type selector.
  3. Choose the vial you just added from the vial dropdown.
  4. Enter the quantity drawn (in the same unit as the vial, e.g. mL).
  5. Enter the administering DVM ID and technician ID.
  6. Click Submit Event. The running balance updates instantly.
C-II waste requires a second witness. When recording a WASTE event on a Schedule II substance, VetRx Ledger will prompt you for a witness session token. See the Draw & Waste SOP for the dual-witness workflow.

Step 4 — Invite your team

From the onboarding wizard or Settings → Team, invite your lead technician and other DVMs. Each user gets a role assignment (DVM / Tech / Manager / Compliance Officer) that controls which events they can witness and which reports they can export.

Step 5 — Enable offline mode

On the room tablet, open VetRx Ledger in Chrome, wait for the PWA install banner, and tap Add to Home Screen. The service worker will cache all required assets. Events recorded while offline are queued in IndexedDB and synced automatically when the tablet reconnects — no data is ever lost.
